About El Dorado Ballroom:

5 Step Guide to Choosing the Perfect Meeting Room

One of the biggest factors playing into the success of a meeting is the space in which it is held. Many businesses have forgotten the power of a good meeting room and thus have also forgotten how to choose a good meeting room.

This simple 5 step guide will (for lack of a better word) guide you through choosing a venue that’s perfect for your next meeting.

Step 1: Create a Budget

Many fall into the trap of creating a budget later on in the planning process, but setting a realistic budget before anything else will help you to avoid over-spending. Remember to include the cost of drinks, food, and, if necessary, equipment rentals.

Step 2: Choose the Location

We don’t mean that you should choose the venue itself, but choose the area or areas in which you would like the venue to be located, and the type of surroundings which you would prefer.

Holding an off-site meeting can be tricky for a number of reasons, but one of the most prominent is choosing the location. I’m not talking about the meeting space itself, but instead the proximity to the office, ease of directions, and scenery itself. You want to ensure that you’re looking in an area close enough to your employees that no employee needs to travel an excessive amount to arrive. You also want to avoid destinations too far off the beaten path as they may cause trouble when people arrive late or not at all due to the difficulty of the directions.

Lastly, you want to consider the scenery. If you’re office is in the crowded city, a hillside venue with beautiful woods and gardens may be just what your employees need to focus and come up with creative new ideas.

Step 3: Create a List of Meeting Rooms

Figure out which amenities and facilities are a must-have, then create a list of venues in the areas you chose in step 2 that have all those must-have features. A few examples of features which might be essential to you are the following:

When you’ve created the list of meeting rooms, contact the venue for more information and see how long the sales team takes to respond. While not guaranteed, this is usually a great way of checking the quality of service for each venue. In addition to seeing how long it takes to get a reply, make note of whether they offer a site visit.

Another way to check the quality of their service is to look at online reviews. We recommend looking both at the reviews and using the response time method.

If a venue doesn’t respond quickly, has low ratings, or after requesting more information doesn’t seem like a good fit, take it off the list of meeting rooms.

Step 5: Visit the Best Meeting Room

Choose the number one venue on your master list (the one that has the lowest combined number) and set up a site visit. When going to the venue, take a list of the most important features and check to make sure the venue has everything or at lest most everything on the list. Here are a few other things to consider as well:

  • The way the staff welcome and treat you as you tour the site. Are they polite and helpful?
  • Is there sufficient parking? Is it free?
  • Have all of your questions been answered? If they have a complex A/V set up, was it explained to you so that you could use it during the meeting?

Finishing Touches

Once you’ve decided on the meeting room, you will want to do a few last things

  1. Go over the pricing and ensure that everything is included and appropriately priced.
  2. Look over the contract itself and ensure that everything is provided in the contract.
  3. Send out an email to all attending containing the address, directions, and any other useful information.

Valentines Day and New Years Eve have long been used for holiday weddings, but now many couples are experimenting with having their weddings on other holidays like The Fourth of July, Halloween, or even Christmas!

A holiday wedding can be loads of fun, provide a theme for you to incorporate and even be more convenient for your guests – If it’s done right!

Here are the do’s and don’ts of holiday weddings:

Holiday Wedding Do’s:

Send Save the Dates At Least 8 Months in Advance

Many people plan their holiday vacations in advance. In order to not be rude to your guests, and make it more convenient for them to come, send your save the dates before they plan their holiday vacations. This will keep you from making a friend of family member decide between a vacation they already planned and your wedding.

Be Prepared to Have a Higher Decline Rate Than Normal Weddings

Some people have long standing family traditions that they won’t be willing to miss, even for your wedding. This is especially true with the more family oriented holidays. If you receive more declines than a wedding would usually expect, it’s probably because that is the only weekend they see their grandparents (or something like that).

Plan to Spend More on Vendors and Venues

Your caterer will have to pay staff overtime for the holidays, flowers may be more expensive due to a higher demand, and venues may even raise their rates for the more popular holidays such as New Years Eve and Valentines Day. Some holidays may see lower prices for venues, but expect to pay more unless told otherwise.

Subtly Include the Holiday Theme

Emphasis on subtly. Holiday weddings are great because they provide a theme for the wedding, but you don’t want to go overboard and make the wedding seem like a holiday party instead of a wedding. On many holidays travel will be more expensive and less convenient. It is rude to ask your guests to travel as traffic is often worse, plane tickets usually cost more and traveling can take up their entire holiday weekend. Keeping the wedding local means guests get to spend the rest of their holiday weekend however they please.

Play Seasonal Music

Your wedding is exactly that, your wedding. It isn’t some big holiday party and while it may be tempting to play holiday music at your wedding it can and often will make guests feel like they are at less of a wedding and more of a big holiday party.

Choose a Big Holiday like Christmas or Thanksgiving

Larger, more important holidays (be it religious holidays or otherwise) should not be chosen for your wedding date as they will be highly inconvenient for your guests and will often make your guests choose between longstanding family traditions and attending your wedding. How to Throw a Farmers Market Wedding

New, unconventionally themed weddings have been rising in popularity and the farmers market theme is no exception! A farmer’s market wedding has a home grown vintage feel to it and often incorporates fresh fruits, veggies, baked goods and more.

A venue for a farmers market wedding should be rustic with a focus on nature. You definitely want an outdoor venue or at least a venue with a great view of nature and a rustic feel like a barn. Here are a couple great wedding venue ideas:

  • Lemonade Stand – Serve hard lemonade, herb infused lemonade, tea, and other farmers market inspired drinks here.
  • The Peanut Gallery or a Trail Mix Bar – nuts, crackers and other items for your guests to snack on.

Those are just a few of the many possible ideas, but separating the food into different areas helps guests get food faster, encourages them to interact with each other, and adds to the farmers market theme of the wedding.

A Few Other Tips:

  • Consider dressing up your wedding party in a way that they go along with the theme of the wedding. You could go a number of different ways, but vintage elements will add to the charm.
  • Consider the seasons and if possible, try and plan for a fall wedding. If you’re in an area where the leaves change and begin to fall it will add a fantastically beautiful look to your wedding and really add to the farmers market theme.
  • Uncovered wooden chairs look wonderful in this style of wedding and can save you a little bit of money by not needed to rent chair covers.
